On behalf of Kingswood RFC, I would like to welcome you to the GRFU Under 9s County Festival on Sunday 14th April 2024.
This letter and attachments contain all the information needed for the festival. Please share this information with your coaches and parents.

Registration
For each team, please complete a copy of the registration form attached and return it to krfcminisfixtures@gmail.com by Friday 5th April 2024 to confirm your attendance at the festival, so the pools draws can be adjusted as necessary in advance. Please also bring a copy of the completed registration form and player registration cards with you on the day. Registration will take place in the clubhouse just after the main entry point. Please let me know as soon as possible if your team no longer plan on attending; if I do not hear from a team by Friday 5th April 2024, I will assume they are no longer attending and the pools will be adjusted accordingly.

Parking and Entry
Parking is available on site at Kingswood RFC, BS15 9RA, with an overflow car park to be utilised when necessary at Kings Oak Academy, just off Brook Road BS15, only a short walk away. Parking will be free of charge. We strongly encourage everyone attending the festival to car share where possible, and if not parking at the designated locations provided, to park sensibly and legally.
Entry into the festival will be charged at £1 per person, payable in cash or card (cash preferred).

Coaches and Referees
There will be a briefing for coaches at 09:30 and for the nominated referees at 09:45 outside the front of the clubhouse. Each team is responsible for providing a competent referee, who’s details should be provided on the registration form. Each pitch will be allocated a pitch manager from Kingswood RFC to check teams in before each match and keep time.

Festival Rules and Format of Play
The festival matches will be played under the RFU Age Grade Rules of Play. Teams will be allocated to a pool and will play all matches on the same pitch. A pitch plan will be printed in the programme. Pool draw details and timings will be provided to the coaches on the day of the festival. Teams are asked to be present at the allocated pitch at least 5 minutes before their match. Enjoyment of Rugby is the emphasis of the festival, therefore please ask everyone attending to respect the Core Values and the Code of Conduct attached.

First Aid
First Aid cover will be available, however, please ensure each club brings a First Aid kit and at least one qualified First Aider.

Photography
A GRFU photography consent form is attached and must be completed for anyone wishing to take their own photos on the day. If there are any children who should not be photographed, please advise in advance.
In addition, we are hoping to use a Veo camera to record the Kingswood games, please let me know in advance if your team do not want to be recorded. ‘De Photo’ will be taking professional pictures of teams and players available to buy directly from them on the day.

Facilities
Portable toilets will be provided and located around the grounds, detailed in the match day programme. A Burger van, I Scream Tacos van and other refreshments will be available on the day (hot, cold and alcohol beverages). They will be marked on the match day programme. There will be no changing room facilities available.

Dogs
Where possible, we ask that dogs are not brought to the festival, but, if it is absolutely necessary for your dog to travel with you, we ask that it is kept on a lead at all times and all mess cleaned up as a responsible owner.
